How to Use the Google Docs Preferences Tool to Automatically Capitalize Words

Typing quickly often leads to minor formatting errors, particularly failing to capitalize the first letter of a new sentence or improperly casing proper nouns. Manually going back to fix these capitalization errors interrupts your creative flow. Fortunately, Google Docs includes a built-in “Preferences” tool that can be configured to automatically manage capitalization for you as you type.

Why Use Auto-Capitalization?

Auto-capitalization acts as an invisible editor. By enabling it, Google Docs will automatically detect the end of a sentence (following a period, question mark, or exclamation point) and ensure the next word begins with a capital letter. Furthermore, you can use the custom substitution feature within the Preferences menu to force the capitalization of specific brand names or acronyms every time you type them.

Step 1: Enable Automatic Sentence Capitalization

The global capitalization setting is located in the main Tools menu.

  1. Open your document in Google Docs.
  2. Click on Tools in the top menu bar.
  3. Select Preferences from the drop-down list.
  4. A dialogue box will appear. Ensure you are on the General tab.
  5. Look for the checkbox labeled Automatically capitalize words.
  6. Click the checkbox to enable the feature.
  7. Click OK to save your changes.

Now, whenever you finish a sentence with punctuation and hit the spacebar, the first letter of the following word will instantly capitalize itself.

Step 2: Create Custom Capitalization Rules

While the general setting handles sentence beginnings, it does not know how to handle specific proper nouns or company names that you might frequently miscapitalize. You can fix this using text substitutions.

  1. Open the Preferences menu again (Tools > Preferences).
  2. Click on the Substitutions tab at the top of the dialogue box.
  3. Ensure the “Automatic substitution” checkbox is enabled.
  4. In the empty Replace box on the left, type the word exactly as you normally miscapitalize it (e.g., iphone).
  5. In the empty With box on the right, type the correctly capitalized version (e.g., iPhone).
  6. Press Enter to save the rule.
  7. Click OK to close the window.

By utilizing the Preferences tool, you can drastically reduce the time spent proofreading and correcting minor capitalization mistakes throughout your Google Docs.
