Collaborating on a Microsoft Word document can become chaotic if multiple people edit different copies of the same file simultaneously. Trying to manually copy and paste changes from three different documents into one final version is extremely tedious and often results in lost data. The “Combine Documents” feature solves this by automatically comparing multiple files and merging all edits, comments, and formatting changes into a single, cohesive master document.
Why Use the Combine Documents Tool?
When you send a document out for review without enabling “Track Changes”, your colleagues will likely make direct edits to the text. The Combine feature acts as a retroactive Track Changes tool. It analyzes the original file against the edited versions, highlights every addition and deletion, and attributes those changes to the specific author, allowing you to review and accept them methodically.
Step 1: Access the Combine Menu
Before you begin, ensure you have the original, unedited document and the newly edited copy saved to your computer.
- Open Microsoft Word (you can open a blank document).
- Navigate to the Review tab on the main ribbon.
- Click on the Compare button located in the “Compare” group on the far right.
- Select Combine… from the drop-down menu.
Step 2: Select Your Documents
A dialogue box will appear asking you to specify the files you want to merge.
- Under the Original document section on the left, click the folder icon and browse your computer to select the initial, unedited version of the file.
- Under the Revised document section on the right, click the folder icon and select the edited copy you received from your colleague.
- Ensure the “Label unmarked changes with:” field contains the name of the person who edited the file, so you know who made the revisions.
- Click More >> to expand the advanced settings.
- Ensure that under the “Show changes in” section, New document is selected. This prevents you from accidentally overwriting your original files.
- Click OK.
Step 3: Review and Accept the Merged Changes
Word will open a new master document featuring a complex viewing pane.
- The center pane displays the combined document with all revisions highlighted in red markup.
- The left pane (Revisions pane) lists every specific change made.
- To finalize the document, navigate to the Review tab on the ribbon.
- Use the Accept and Reject buttons to go through the changes one by one.
- Once you have reviewed all the markup, save the new file as your final master document.
By using the Combine Documents feature, you can easily consolidate feedback from multiple team members without manually hunting for hidden text edits.
