How to Sync Clipboard History Across Devices in Windows 11

Windows 11 includes a powerful but often overlooked feature called Cloud Clipboard that synchronises your clipboard history across all your Microsoft account-linked devices. Once enabled, text and images you copy on your desktop PC become instantly available to paste on your laptop, and vice versa. This means you can copy a paragraph on one machine, walk to another, and paste it without emailing yourself or using a third-party tool.

How Cloud Clipboard Sync Works

Cloud Clipboard uses your Microsoft account as the bridge between devices. When you copy something on one Windows 11 device, the clipboard data is encrypted and uploaded to Microsoft’s cloud servers. Any other Windows 10 or Windows 11 device signed in to the same Microsoft account can then access that clipboard entry. The sync happens almost instantly over an active internet connection.

There are a few important limitations to be aware of:

• Only text and images smaller than 4 MB can be synced. Large images and files are excluded.
• Clipboard history stores up to 25 items at a time. Older entries are automatically removed when the limit is reached.
• The synced data is encrypted during transmission and stored temporarily. Microsoft states that clipboard data is cleared from their servers after a short period unless you pin an item.
• Cloud sync only works between devices signed in to the same Microsoft account.

Enabling Clipboard History on Windows 11

Before you can sync clipboard data across devices, you need to enable clipboard history on each machine. Follow these steps:

1. Open Settings by pressing Windows + I.
2. Navigate to System in the left sidebar.
3. Select Clipboard.
4. Toggle Clipboard history to On.

Once enabled, pressing Windows + V opens the clipboard history panel instead of performing a simple paste. This panel displays all recently copied items, allowing you to select which one to paste.

Enabling Cloud Sync Across Devices

Enabling clipboard history alone does not activate cross-device sync. You need to explicitly turn on the sync feature:

1. Open Settings > System > Clipboard.
2. Under Sync across your devices, toggle the feature to On.
3. Choose one of two sync modes:
   • Automatically sync text that I copy — Everything you copy is immediately synced to your other devices without any additional action.
   • Manually sync text that I copy — Only items you explicitly choose to sync (by pressing the cloud icon in the clipboard history panel) are sent to other devices.

The automatic option is more convenient for most users. The manual option is better if you frequently copy sensitive information (such as passwords or personal data) and want control over what leaves the device.

How to Use Clipboard Sync in Practice

Once both devices are configured:

1. Copy text or a small image on Device A using Ctrl + C.
2. On Device B, press Windows + V to open clipboard history.
3. The copied item from Device A should appear in the list. Click it to paste.

If you enabled automatic sync, the item will appear within a few seconds. If you chose manual sync, return to Device A, press Windows + V, find the item, and click the small cloud sync icon next to it before checking Device B.

Pinning Important Clipboard Items

Clipboard history automatically clears when you restart your computer. If you have a frequently used snippet — such as your office address, a standard email signature, or a commonly pasted code block — you can pin it to prevent it from being removed:

1. Press Windows + V to open clipboard history.
2. Find the item you want to keep.
3. Click the pin icon (or the three-dot menu and select Pin).

Pinned items survive restarts and remain in your clipboard history until you manually unpin or delete them. Pinned items also sync across devices if cloud sync is enabled.

Clearing Your Clipboard History

If you have copied sensitive information and want to ensure it is removed from all devices:

1. Open Settings > System > Clipboard.
2. Click Clear under the Clear clipboard data section.

This removes all non-pinned items from clipboard history on the current device and from Microsoft’s cloud servers. Pinned items remain unless you unpin them first.

You can also clear individual items by pressing Windows + V, hovering over the item, and clicking the delete (bin) icon.

Troubleshooting Common Sync Issues

If clipboard items are not appearing on your second device, check the following:

• Same Microsoft account. Both devices must be signed in to the same Microsoft account. Check this in Settings > Accounts > Your info.
• Clipboard history enabled on both devices. The feature must be toggled on individually on each machine.
• Sync across devices enabled. Verify the sync toggle is active on both devices under Settings > System > Clipboard.
• Internet connection. Both devices need an active internet connection for cloud sync to work.
• Item size. Images larger than 4 MB and file paths are not synced. Only text and small images qualify.
• Work or school accounts. Some organisations disable clipboard sync through group policy. If you are using a managed device, contact your IT administrator.

Privacy Considerations

Because cloud clipboard sends copied data through Microsoft’s servers, you should be mindful of what you copy when sync is enabled. Avoid copying passwords, bank details, authentication tokens, or other sensitive data with automatic sync active. If you regularly handle confidential information, the manual sync option provides a safer workflow because you control exactly which items leave the device.

Microsoft encrypts clipboard data in transit and at rest, and the data is automatically deleted from their servers after a short retention period. However, if privacy is a primary concern, you can always disable cloud sync entirely and use clipboard history as a local-only feature.
