When you are managing a massive dataset in Google Sheets, such as an annual corporate budget or a multi-year sales tracker, scrolling through thousands of rows becomes unmanageable. While you could “Hide” specific rows by right-clicking them, unhiding them later is tedious and can ruin the flow of your presentation. The most professional way to manage a large spreadsheet is by using the Grouping feature. Grouping allows you to create collapsible outlines, letting you instantly hide or reveal massive sections of data with a single click of a button.
How to Group Rows Together
Grouping is ideal for hierarchical data. For example, if you have twelve rows detailing monthly expenses (Jan-Dec) followed by one row showing the Annual Total, you can group the twelve months together so that only the Annual Total is visible by default.
- Open your spreadsheet in Google Sheets.
- Select the rows you want to group. To do this, click and drag your mouse down the grey row numbers on the far-left side of the screen (e.g., highlight rows 2 through 13). Do not highlight the “Total” row.
- With the rows highlighted, click on the View menu at the top of the screen.
- Hover over Group, and then click Group rows 2 – 13.
Alternatively, you can use a rapid keyboard shortcut: Highlight the rows and press Alt + Shift + Right Arrow (on Windows) or Option + Shift + Right Arrow (on Mac).
You will immediately see a grey bracket appear in the margin to the left of your row numbers, spanning the exact length of your group. At the very bottom of this bracket is a small box with a minus sign (–) inside it.
How to Collapse and Expand the Outline
The true power of this feature is how quickly you can manipulate the view.
- To Collapse: Click the small box with the minus sign (–). All the rows inside the group will instantly vanish, and the minus sign will turn into a plus sign (+). Only your “Total” row will remain visible.
- To Expand: Click the plus sign (+) box. The bracket will unfold, and all your detailed monthly data will instantly reappear.
Grouping Columns
This exact same logic applies horizontally to columns. If you have detailed daily sales data in columns B through Z, and a monthly summary in column AA, you can collapse the daily data.
- Highlight the column letters (e.g., B through Z) at the top of the sheet.
- Press Alt + Shift + Right Arrow.
- A grey bracket will appear above the column letters, allowing you to instantly collapse weeks of data into a single summary column.
To remove a group completely, highlight the affected rows or columns and press Alt + Shift + Left Arrow (or navigate to View > Group > Ungroup).
