How to Create a Smart Folder in macOS Finder to Group Recent Files

Keeping track of files downloaded or modified over the past week can be frustrating when they are scattered across your Desktop, Documents, and Downloads directories. Instead of manually moving these items into a single folder, you can use a macOS Smart Folder. A Smart Folder is not a real directory; it is a saved search query that constantly updates in real-time, displaying any file across your Mac that meets your specific criteria.

How to Create a New Smart Folder in Finder

You can create a Smart Folder from anywhere within the macOS Finder.

1. Click the Finder icon in your Mac dock to open a new window.
2. In the top menu bar, click on File and select New Smart Folder.
3. A new, empty Finder window will appear. Look at the grey bar just beneath the search box at the top right. Ensure that This Mac is selected, rather than a specific sub-folder, so the search queries your entire hard drive.

How to Configure the Smart Folder Rules

Now you must define the parameters for what the folder should display. For this example, we will configure it to show any file modified in the last 7 days.

1. Click the small + (Plus) icon located on the far right side of the search bar. This adds a new rule row.
2. In the first dropdown menu on the left, change Name to Last modified date.
3. In the middle dropdown menu, select is within last.
4. In the text field on the right, type 7.
5. In the final dropdown menu, select days.

The main window will instantly populate with every file that matches this criteria. If you want to narrow the results further (for example, to only show recent PDF documents), click the + (Plus) icon again to add a second rule, select Kind, and choose PDF.

How to Save and Access Your Smart Folder

To make this dynamic view easily accessible, you need to save it.

1. Click the Save button located in the top right corner of the Finder window.
2. Give your Smart Folder a descriptive name, such as “Recent 7 Days”.
3. Ensure the Add To Sidebar checkbox is ticked.
4. Click Save.

Your new Smart Folder will now appear permanently in the left-hand sidebar of every Finder window, usually featuring a purple gear icon. Because it is a saved search, you can safely delete the Smart Folder in the future without accidentally deleting the actual files it displays.
