How to Use the Microsoft Word Mail Merge Wizard for Bulk Envelopes

Printing a single envelope in Microsoft Word is straightforward, but if you need to send out 500 corporate invitations, holiday cards, or billing statements, typing addresses individually is impossible. The Microsoft Word Mail Merge feature allows you to connect a blank envelope template to a data source (like an Excel spreadsheet or your Outlook Contacts) to automatically generate hundreds of perfectly addressed envelopes in seconds.

Step 1: Prepare Your Data Source

Before opening Word, ensure your address list is properly formatted. The easiest method is to use Microsoft Excel.

  1. Open Excel and create a new spreadsheet.
  2. Use the first row for clear column headers: First Name, Last Name, Address, City, State, and ZIP Code.
  3. Fill in the rows with your contact data.
  4. Save the file to a known location (e.g., your Desktop) and close Excel. (Word cannot connect to the spreadsheet if it is currently open in Excel).

Step 2: Start the Mail Merge Wizard

  1. Open Microsoft Word and create a blank document.
  2. Navigate to the Mailings tab on the ribbon.
  3. Click Start Mail Merge, and select Step-by-Step Mail Merge Wizard… from the bottom of the drop-down menu. A panel will open on the right side of your screen.
  4. Under “Select document type”, choose Envelopes. Click Next: Starting document at the bottom of the panel.
  5. Ensure “Change document layout” is selected, then click Envelope options…
  6. The Envelope Options dialog box will appear. Select the physical size of the envelopes you are loading into your printer (e.g., Size 10 is standard for business letters). Click OK. Word will reshape your document to look like an envelope. Click Next: Select recipients.

Step 3: Connect to Your Excel Spreadsheet

  1. Under “Select recipients”, choose Use an existing list.
  2. Click the Browse… button in the middle of the panel.
  3. Locate and select the Excel file you created in Step 1.
  4. A dialog box will ask you to confirm the specific sheet containing the data. Ensure “First row of data contains column headers” is checked, and click OK.
  5. The Mail Merge Recipients window will appear, showing your data. You can uncheck specific rows if you want to exclude someone. Click OK. Click Next: Arrange your envelope.

Step 4: Arrange the Address Block

  1. Click into the center of the envelope on your screen. You will see a faint, dotted text box appear. This is where the delivery address will go.
  2. In the right-hand panel, click Address block…
  3. The “Insert Address Block” dialog allows you to customize how the names appear (e.g., “Joshua Randall Jr.” vs. “Mr. Josh Randall”).
  4. Look at the Preview window. If information is missing, click the Match Fields… button to tell Word which columns in your Excel sheet correspond to the required address fields.
  5. Click OK. You will see the placeholder <<AddressBlock>> appear on your envelope.
  6. Click Next: Preview your envelopes.

Step 5: Preview and Print

Word will replace the <<AddressBlock>> placeholder with the actual data from the first row of your spreadsheet. You can click the arrow buttons (<< and >>) in the right panel to scroll through your recipients and verify the formatting is correct.

Once you are satisfied, click Next: Complete the merge. Click Print…, select “All”, load your physical envelopes into the printer tray, and watch as hundreds of personalized envelopes print automatically.
