The Limits of Manual Organization
Most Mac users organize their files using rigid, hierarchical folder structures (e.g., creating a “Taxes” folder, inside which is a “2023” folder, inside which is a “Receipts” folder). The problem with this traditional system is that a file can only exist in one place at a time. If you have a PDF receipt from a business trip, should it go in the “Taxes” folder or the “Travel Expenses” folder?
If you try to put it in both, you create duplicates that waste hard drive space and create version control nightmares.
macOS solves this architectural problem with Smart Folders. A Smart Folder is not a real, physical folder. It is a live, constantly updating search query that gathers files from all over your hard drive and displays them in one place based on specific criteria you define, without ever moving the original files.
How to Create a Smart Folder
Step 1: Initiate the Smart Folder
- Open a Finder window.
- In the top menu bar, click on File.
- Select New Smart Folder. (Alternatively, use the keyboard shortcut Option + Command + N).
- A new Finder window will open. Notice the search bar at the top has expanded to show a “Save” button and a small + (plus) icon on the right side.
Step 2: Define Your Search Criteria
Click the + icon to add your first rule. You will see two dropdown menus.
By default, the first dropdown says Kind, and the second says Any. Let’s create a highly specific Smart Folder to track large video files that might be clogging up your hard drive.
- Change the first dropdown to Kind.
- Change the second dropdown to Movie. (Notice the window instantly populates with every video file on your Mac, regardless of where it is stored).
Now, let’s refine it so it only shows large video files.
- Click the + icon again to add a second rule.
- Change the first dropdown from “Kind” to File Size.
- Change the second dropdown to is greater than.
- Type 1 in the text box, and change the unit dropdown to GB.
Instantly, the view filters to only show video files larger than 1 Gigabyte.
Step 3: Save the Smart Folder
- Click the Save button near the top right of the window.
- Give your Smart Folder a descriptive name, like “Massive Video Files”.
- Ensure the Add To Sidebar box is checked. This ensures the folder is always accessible on the left side of your Finder windows.
- Click Save.
Advanced Criteria Options
The true power of Smart Folders lies in the hidden search attributes. When you click the first dropdown (where it says “Kind” or “Name”), click on Other… at the very bottom of the list.
A massive list of hundreds of metadata tags will appear. You can create Smart Folders based on incredibly specific data:
- Photography: Create a folder that automatically gathers all photos taken with a specific “Device Make” (e.g., Apple) or a specific “F-Number” (aperture).
- Workflow: Create a folder for “Last Opened Date” is “within last 3 days” AND “Kind” is “Document.” This creates a dynamic “Recent Work” folder that clears itself out automatically.
- Security: Create a folder searching for “Kind” is “Application” AND “System” is “Intel”. This instantly highlights legacy apps that are not optimized for Apple Silicon.
