In professional communication, knowing whether a recipient has actually opened and read your email can be critical for timing follow-ups or confirming the delivery of important documents. While many desktop email clients have supported this feature for decades, Gmail handles read receipts a little differently.
It is important to understand that Google does not offer read receipts for standard, free Gmail accounts (e.g., @gmail.com). This feature is exclusively available to Google Workspace accounts (used by businesses and schools) and must be enabled by the organization’s administrator.
How to Request a Read Receipt in Gmail
If you are using a qualifying Google Workspace account, requesting a read receipt is straightforward.
- Open Gmail and click the Compose button to start a new email.
- Draft your email, add your recipient, and write the subject line as usual.
- Look at the bottom toolbar of the compose window (next to the Send button).
- Click the More options icon (three vertical dots).
- From the menu, select Request read receipt.
- Send your email.
If you do not see the “Request read receipt” option, it means either your account is a standard free Gmail account, or your Google Workspace administrator has intentionally disabled the feature for your organisation.
How to Return a Read Receipt
When you receive an email that includes a request for a read receipt, Gmail will handle it based on your organisation’s settings. Sometimes read receipts are returned automatically without your knowledge, but typically, you will be asked for permission.
- Open the email in your Gmail inbox.
- A banner will appear at the top of the message stating, “The sender has requested a read receipt.”
- You will have two options:
- Send receipts: This confirms to the sender that you have opened the email.
- Not now: This dismisses the prompt without sending a receipt. You will be asked again the next time you open the email.
How to Check if Your Email Was Read
Once you have requested a read receipt and the recipient has approved it, you can check the status within your sent emails.
- Open your Sent folder in Gmail.
- Find and open the email you sent with the receipt request.
- Look at the bottom of the message. If the receipt has been returned, you will see a small notification stating the time and date the email was read.
Important Limitations of Read Receipts
You should never rely entirely on read receipts as absolute proof of communication. There are several reasons why a read receipt might fail:
- The recipient may simply click “Not now” when prompted to return the receipt.
- If the recipient uses an older email client, an IMAP client, or a mobile app that does not support receipts, the request will be ignored.
- A returned receipt only proves that the email was opened; it does not guarantee the recipient actually read or understood the contents.
