How to Use the Keep with Next Feature to Prevent Paragraphs from Separating in Microsoft Word

When formatting a massive corporate report in Microsoft Word, you will often encounter a frustrating situation where a bold section heading is stranded at the very bottom of page four, while the actual paragraph it belongs to is pushed to the top of page five. Most users attempt to fix this by mashing the Enter key to force the heading onto the next page. However, if you add a single sentence earlier in the document, your manual spacing will be destroyed. To solve this permanently, you must use the “Keep with next” formatting rule.

What Does “Keep with Next” Do?

The “Keep with next” feature is a mathematical rule you apply directly to a paragraph or a heading. It forces Microsoft Word to dynamically bind that specific line of text to the paragraph immediately following it. If the following paragraph is forced onto a new page, the heading will automatically travel with it, guaranteeing they are never separated by a page break.

How to Enable the Feature

  1. Open your Microsoft Word document.
  2. Locate the “orphaned” heading that is currently stranded at the bottom of the page.
  3. Click anywhere inside that specific heading line (you do not need to highlight the text).
  4. On the top ribbon, make sure you are on the Home tab.
  5. Look for the section labeled Paragraph. Click the tiny, barely visible arrow icon in the bottom-right corner of that section to open the advanced Paragraph Settings window.
  6. Click on the Line and Page Breaks tab at the very top of the window.
  7. Under the “Pagination” section, check the box labeled Keep with next.
  8. Click OK.

Automating the Rule for All Headings

Applying this rule manually to 50 different headings is tedious. A much smarter method is to bake the rule directly into your global text styles.

  1. On the Home tab, look at the Styles gallery.
  2. Right-click on the Heading 1 (or Heading 2) style box and select Modify…
  3. In the bottom left corner of the Modify window, click the Format dropdown button and select Paragraph.
  4. Go to the Line and Page Breaks tab and check Keep with next.
  5. Click OK twice to save.

Now, every single heading in your entire document (and every heading you type in the future) will automatically bind to the text below it, ensuring a flawlessly formatted document with zero stranded headings.
